a. Information You Provide to Us
- Account Information: When you register for an Account, we collect information such as your name, email address, password, and organization details. If you are an Administrator ("Admin"), we may also collect information about the Users you invite to your workspace.
- User Content: We collect and store the text, documents, files, workflows, and other information that you and your organization's users upload, create, or input into the Service ("User Content"). You and your organization retain ownership of your User Content.
- Payment Information: For paid subscription tiers, we collect payment and billing information. This is processed securely by our third-party payment processors (e.g., Stripe). We do not store full credit card numbers on our servers.
- Communications: If you contact us directly for support or other inquiries, we may receive additional information about you, such as your name, email address, the contents of your message, and any attachments you may provide.
b. Information We Collect Automatically
- Usage Data: When you use the Service, we automatically collect information about your interactions, such as your IP address, browser type, operating system, device information, pages viewed, features used, and the dates and times of your visits.
- Log Data: Our servers automatically record information ("Log Data") created by your use of the Service. Log Data may include information such as your IP address, browser type, the referring domain, and other statistics.

We use the information we collect for the following purposes:
- To Provide and Maintain the Service: To operate, secure, and deliver the features and functionality of the Memion platform, including processing and organizing your User Content.
- To Improve and Develop the Service: To understand how users interact with our Service, we use data for analytics, research, and product development. This includes training our artificial intelligence (AI) models to enhance features like summarization, organization, and search accuracy. We offer options for certain customers to opt-out of having their User Content used for AI model training, as detailed in Section 6.
- To Communicate With You: To send you service-related communications, technical notices, updates, security alerts, and administrative messages. We may also send you marketing communications, from which you can opt out at any time.
- For Billing and Account Management: To process payments, manage subscriptions, and send invoices and receipts.
- For Safety, Security, and Legal Compliance: To enforce our Terms of Service, prevent fraud and abuse, and comply with legal obligations, court orders, or law enforcement requests.
3. How We Share and Disclose Information
We do not sell your personal information. We may share your information in the following limited circumstances:
- Within Your Organization: Your User Content and profile information are accessible to the Admin and other Users within your organization's workspace, based on the permissions set by your Admin.
- With Third-Party Service Providers: We share information with third-party vendors and service providers who perform services on our behalf, such as cloud hosting (e.g., AWS, Google Cloud), payment processing, data analytics, and customer support. These providers are contractually obligated to protect your data and are not permitted to use it for their own purposes.
- With Third-Party Integrations: When you connect a third-party service to Memion, we will share information with that service as directed by you. We are not responsible for the privacy practices of these third-party services.
- For Legal Reasons: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or protect the personal safety of users or the public.
- In a Business Transfer: In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such deal and outline your choices.
- With Your Consent: We may share your information with your explicit consent for any other purpose.
4. Data Security
We implement commercially reasonable technical and organizational security measures designed to protect your information from unauthorized access, use, alteration, or disclosure. These measures include encryption of data in transit (using TLS) and at rest, access controls, and regular security assessments. We are committed to achieving and maintaining compliance with industry standards such as SOC 2. We retain your information for as long as your account is active or as needed to provide you with the Service. Upon termination or deactivation of your account, we may retain User Content for a limited period for backup and recovery purposes before it is permanently deleted.
6. Your Data Rights and Choices
You have rights and choices regarding your personal information.
- Account Information: You can access, review, and update your account information by logging into your account settings.
- User Content: You and your Admin have the right to access, modify, and delete your User Content through the Service.
- AI Model Training: We believe in responsible AI. For certain subscription plans, or upon request, you may have the option to opt out of having your User Content used to train our AI models. Please contact us at support@memion.com to inquire about your options.
- Marketing Communications: You can opt out of receiving promotional emails from us by clicking the "unsubscribe" link in those emails. You will continue to receive essential service-related and transactional communications.
Regional Privacy Rights
- For Users in the EEA, UK, and Switzerland (under GDPR): You have the right to access, rectify, or erase your personal data; the right to data portability; the right to restrict or object to processing; and the right to lodge a complaint with a supervisory authority.
- For Users in California (under CCPA/CPRA): You have the right to know what personal information we collect, use, and disclose; the right to delete your personal information; the right to correct inaccurate information; and the right to opt-out of the "sale" or "sharing" of your personal information (note: we do not sell your data in the conventional sense).

The Service is not intended for or directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
